  • Demo Participants - visitors to our website that elect to experience a demo of our product

From Restaurant Clients

We collect personal and business information that helps us provide and support our services:

  • Business profile (ie, restaurant name, location, menu preferences)

  • Subscription or billing details

  • Communications, including emails, onboarding forms, and support requests

From Guests

If you're a guest using a Vocafy-powered voice assistant or providing feedback via phone, QR code, or other channels, we may collect:

  • Voice recordings or transcriptions of your feedback

  • Your name (if provided), contact info (e.g., phone or email if voluntarily shared)

  • Dining-related details, such as visit date, favorite dishes, dietary preferences, or feedback about your experience

  • Loyalty program opt-in status or other preferences (if applicable)

Demo Participants

If you request a live demo of our virtual agent through our website or phone contact, we may collect:

  • Your name and contact information (phone number, email)

  • Audio recordings or transcriptions of the demo call

  • Any other information you choose to share during the call This information is used solely to provide the demo, evaluate our service         performance, and (if you consent) follow up with you about our products and services.

How We Use Your Information

For Restaurant Clients

We use your information to:

  • Deliver our AI voice automation and personalization services

  • Respond to questions, onboard your team, and provide support

  • Send updates, product improvements, or insights

  • Generate guest feedback reports and suggested outreach

  • Improve our service and internal analytics

  • Comply with legal obligations

For Guests

We use guest-provided information to:

  • Collect and share feedback with the restaurant you visited

  • Help the restaurant personalize your experience (e.g., favorite table, dishes, or preferences)

  • Send VIP invitations, thank-you messages, or exclusive offers (if you opted in)

  • Improve service scope and quality by analyzing voice calls, sentiment, and trends

  • Anonymize data to support broader insights (e.g., common feedback themes)

Demo Participants

Demo calls may be recorded or transcribed for quality assurance, troubleshooting, and improvement of our services. By participating in the demo, you consent to such recording and transcription

 We use your information to:

  • Conduct the demo call you requested

  • Evaluate and improve our demonstration process and technology

  • Follow up with you about our services if you indicate interest

  • We do not share your demo data with restaurants or third parties for marketing purposes without your consent.

We do not use guest data for advertising or sell it to third parties.

Who Owns the Data?

  • Restaurants are the primary data controllers for information provided by or about their guests in the context of that restaurant. Vocafy acts as a service provider (or “processor”) on the restaurant’s behalf for those interactions.

  • Vocafy may also retain and use certain guest information (such as name, preferences, or dining history) when a guest interacts with more than one restaurant using the same mobile phone number or contact method. This allows Vocafy to streamline the experience for the guest — for example, by remembering their name or preferences so they don’t have to repeat themselves at a different location or on a future visit.

  • Guests remain the owners of their personal data. Vocafy uses this data only to enhance service for the guest and does not share it between restaurants unless doing so facilitates the guest’s convenience in signing up for additional restaurants in a manner that aligns with their expressed preferences.

  • Guests should contact the restaurant they visited for any questions about how their information is used by that restaurant.

Information Sharing

We do not sell or rent personal information. We only share data when necessary to provide our services or comply with law.

Information may be shared with:

  • Service Providers who help operate our platform (e.g., hosting, analytics, transcription) under strict confidentiality agreements

  • Restaurants who receive their own guest feedback data

  • Legal Authorities if required by law or to protect rights and safety

Cookies & Analytics

We use cookies and similar technologies to improve website performance and user experience. Among the data we may collect:

  • Navigation behavior on our website

  • Referring links and time spent on each page

For Restaurant Clients:

For Guests:

If you've shared personal info through a Vocafy-powered assistant, you can request:

  • Access to or deletion of your data

  • Correction of inaccurate information

  • To opt out of future communications (if you opted in)

For Demo Participants:

If you have requested or participated in a Vocafy demo call, you may request at any time to:

  • Access the personal information we collected about you in connection with the demo

  • Delete your demo call recordings, transcriptions, and related contact details

  • Correct inaccurate information collected during the demo

  • Withdraw consent for us to contact you after the demo

  • We will respond in accordance with applicable privacy laws and aim to fulfill requests within a reasonable timeframe.

We retain data only as long as necessary for service delivery, or as required by law.

Children’s Privacy

Our services are intended for users age 18 and up. We do not knowingly collect personal data from minors.
